Conduct Bulk Patient Search
Log into your PMP AWARxE account. If assistance is needed, see Login Assistance.
Click "Menu".
Under the section titled "RxSearch", click "Bulk Patient Search".
A form titled "Bulk Patient Search" appears.
Select "Manual Entry" or "File Upload".
Partial Spelling Feature Not Available
The partial spelling feature is not available for "Manual Entry" or "File Upload" bulk patient searches. If you would like to run a partial spelling search, see Completing a Patient Rx .
Manual Entry
Delegate Must Select Supervisor
Delegate users have an additional step when running a bulk patient search. After selecting "Manual Entry", a delegate is asked "Is this search for a single supervisor or multiple supervisors?" The delegate should select the radio button that applies to their search. If a delegate selects "Single Supervisor", a single supervisor drop down appears. The delegate should click the drop down arrow and choose the supervisor they are running a search for.
If a delegate selects "Multiple Supervisors", a drop down to select the supervisor appears next to the corresponding patient information. For each patient manually entered, the delegate should click the drop down arrow and select the applicable supervisor for the patient they wish to run a search on.
Enter the First Name, Last Name, and Date of Birth for the patient you need to search for.
- Any field marked with a red asterisk is required.
- For every additional patient you would like to search, click the "Add+" button.
Enter a Group Name (e.g. 07/05/16 AM Patients).
Input the Prescription Fill Dates you wish to search for.
If applicable and enabled within your state, you may select states within the "PMP Interconnect Search" section.
Arizona PMPi Searches Requiring Phone Number
Arizona has added a phone number requirement when searching via PMPi. If you have Arizona as one of your defaulted PMPi states or you choose Arizona when performing a PMPi search, you will need to provide a patient phone number.If you uncheck Arizona, the phone number requirement will go away, but you will not receive any patient results from Arizona.
Click "Search".
PMP AWARxE Law Enforcement Users
If your role is law enforcement, your search may require approval by your State Administrator and/or your Supervisor before you can view Patient Request results. If approval is required, a message will appear stating that your request has been sent to the administrator. As a Law Enforcement user, you will receive an e-mail once your Patient Request is approved or rejected by the State Administrator and/or Supervisor.
File Upload
Delegate Must Select Supervisor
Delegate users have an additional step when running a bulk patient search. After selecting "File Upload", a delegate is asked "Is this search for a single supervisor or multiple supervisors?" The delegate should select the radio button that applies to their search. If the delegate selects "Single Supervisor", a single supervisor drop down appears. The delegate should click the drop down arrow and choose the supervisor they are running a search for. See below.
If a delegate selects "Multiple Supervisors", the delegate will need to add the supervisor's DEA number to the section titled "supervisor_dea" field within the CSV file. Next to the corresponding patient information, the delegate should ensure the applicable supervisor's DEA number is listed within the "supervisor_dea" field. See below.
Review the "View Sample File", if needed.
- The "View Sample File" link provides an example of the required data the file must contain.
- The headers found within the sample file must be included within file.
Create a .CSV file with all of the patient's information in the exact format as the sample file.
- The date of birth must be entered in MM/DD/YYYY format (the same format entered in a manual patient search).
If the date of birth formatting reverts to an unacceptable format, force the change by using a Custom format.
Using Excel Custom Cell Formatting
- To implement the Custom format, highlight the date of birth cells.
- Right click on the highlighted cells and select "Format Cells…"
- On the first tab labeled "Number", there will be a "Category:" section.
- Within the Category section, at the bottom of the list, choose "Custom". Underneath of the "Type:" heading, enter MM/DD/YYYY, and then click OK.
- You will then need to save your .CSV file. An error message may populate from the Excel program; select Yes.
- Excel may save two files, one of which will be the .CSV file with the correct date of birth format; utilize this file for the Bulk Patient Search.
To upload the file, click "Choose File" and select the file from your computer.
Click "Validate Format".
Enter a Group Name (e.g. 07/05/16 AM Patients).
Input the Prescription Fill Dates you wish to search for.
If applicable and enabled within your state, you may select states within the "PMP Interconnect Search" section.
