Rx Management Overview & Navigation

Rx Management is an optional PDMP enabled feature that allows users authorized by the PDMP to create, correct, update, or void dispensation records. Users typically access Rx Management to:
Fix a dispensation with non-fatal errors
Update or void a previously accepted dispensation
Manually enter a new dispensation
Run reports to review dispensing activity
To access the Rx Management feature, navigate to PMP AWARxE > Menu > Data > Rx Management.
Rx Management Dashboards
The Rx Management feature has five dashboards, depending on the access granted to the user by the PDMP.
Error Correction: Allows users to fix dispensation records that are still in PMP Clearinghouse and have not yet been accepted into PMP AWARxE due to outstanding errors. Focused on resolving errors so the data can be successfully submitted.
Rx Maintenance: Allows users to update or void records that have already been accepted into PMP AWARxE. Focused on making changes after submission is complete.
New Rx: Allows users to manually create a new dispensation. Data is validated in alignment with PMP Clearinghouse, using ASAP submission requirements defined by the PDMP.
Pharmacy Rx: Allows users to run reports showing all dispensations associated with their DEA number within a selected timeframe. Used to review dispensing activity for reconciliation, audits, and operational follow-up.
Pharmacy Rx History: Allows users to view previously generated PharmacyRx reports at any time for reference or follow-up.
Error Correction
If enabled by the PDMP for user access, the Error Correction dashboard shows dispensation records submitted by the accessing user or their associated pharmacy that contain validation errors. It helps users quickly identify and fix issues so records can be successfully processed and included in the PDMP.
From the Error Correction dashboard, users can review and correct records that were submitted through PMP Clearinghouse. Only records submitted via SFTP or real-time submission can appear with errors in this dashboard. Records submitted through the Universal Claim Form (UCF) must be corrected before submission, so they will not appear in Error Correction.
To access the Error Correction dashboard, navigate to PMP AWARxE > Menu > Data > Rx Management, then click the Error Correction tab.
Locating Records in Error Correction
Use the Advanced Options Dropdown menu or the Advanced Options Search Bar menu to enter search criteria to locate a specific record or set of records for correction.
To use the Advanced Options Dropdown, expand the dropdown to view available fields for search.
To use the Advanced Options Search Bar, type the account field into the search bar, select it from the list, enter the specific search criteria, then click Enter. Repeat these steps to search by more than one account field. Once search criteria has been entered, click the Search button.

If a dispensation cannot be located, try expanding the date range and confirm the Rx Number and pharmacy identifier match the original submission. If submitted through PMP Clearinghouse, attempt to locate the dispensation there using submission or reporting resources. |
Correcting Erred Records in Error Correction
To correct a record with errors, locate the record using available search functions, then click the Rx Number of the record in the Rx Error List to open the Error Correction Form.
Review the Error Correction Form to locate any fields containing errors. Fields with errors requiring correction will be clearly indicated in red with help text for how to resolve.
Correct the errors, then click the Submit button at the top or bottom of the Error Correction Form. If all errors have successfully been resolved, the record will show as submitted with no errors. If there are still errors reflected, review the Error Correction Form for remaining errors and repeat correction and submissions steps until resolved.

After a correction is submitted, the record is reprocessed using the PDMP's ASAP validation rules. If errors are resolved, it will proceed through normal processing and become available in PMP AWARxE. To ensure success, correct all flagged fields, verify key identifiers and dates, and confirm you are searching with the same criteria used at submission. If errors persist, carefully review for field requirements and error messages on the form. Contact Bamboo Health technical support or contact the PDMP for additional guidance. If Rx Management features are not visible, contact the PDMP. |
Rx Maintenance
If enabled by the PDMP for user access, the Rx Maintenance dashboard allows users to search for a specific dispensation record and update or void it after it has been accepted into PMP AWARxE.
The Rx Maintenance dashboard is typically used when a record was submitted successfully but later needs to be modified or voided.
To access the Rx Maintenance dashboard, navigate to PMP AWARxE > Menu > Data > Rx Management, then click the Rx Maintenance tab.
Locating Records in Rx Maintenance
To locate records in Rx Maintenance, the Pharmacy Identifiers (DEA, NPI, etc.) and Prescription Fill Date fields are required. Additional optional search fields are provided: Prescriptions Number, Prescriber, and Created Date.
Enter required and (if desired) optional fields and click Search. The Rx Search Results table will populate based on the criteria used for the search.

Modifying & Voiding Records in Rx Maintenance
To modify or void a record in Rx Maintenance, click the Rx Number of the record in the Rx Search Results to open the Rx Maintenance Form.
To Modify a Dispensation Record: Make the necessary adjustments to the relevant fields and click the Submit button at the top or bottom of the Rx Maintenance Form. A validation message will appear indicating a successful submission.

If any field does not pass validation, an error message will present. Click Ok and scroll through the form to locate the error(s). Fields containing errors will be clearly indicated in red with error help text provided. Once all errors have been corrected, reattempt form submission by clicking the Submit button. |
To Void a Dispensation Record: Scroll to the bottom of the Rx Maintenance Form and click the Void button. The Void Dispensation window will appear to confirm the void. To proceed, enter a void reason and click the Void button. To exit without voiding the record, click the Close button.

Voiding a record is a permanent action. Records voided in error will need to be resubmitted to the PDMP. |
New Rx
If enabled for user access by the PDMP, the New Rx dashboard allows users to manually enter dispensation records via PMP AWARxE. This functionality is typically used when a single record needs to be submitted outside of a batch file process.
To access the New Rx dashboard, navigate to PMP AWARxE > Menu > Data > Rx Management, then click the New Rx tab.
Entering a Dispensation in New Rx
To enter a dispensation using New Rx, complete all required fields indicated by an asterisk (*) on the New Rx - Universal Claim Form.

Once all required fields are entered on the form, click the Submit button at the bottom of the New Rx - Universal Claim Form. A validation message will appear indicating a successful submission.
If any field does not pass validation, an error message will present indicating the number of errors needing correction. Fields containing errors will be clearly indicated in red with error help text provided. Once all errors have been corrected, reattempt form submission by clicking the Submit button.

If a compound drug is being entered, select the Compound checkbox in the Drug Information section of the page and enter the required fields for the first drug ingredient, then click Add New to add additional drug ingredients. |
PharmacyRx & PharmacyRx History
If enabled for user access by the PDMP, the PharmacyRx and PharmacyRx History dashboards allows users with a DEA number linked to their PMP AWARxE account to run reports showing all dispensations associated with that DEA within a selected timeframe. The PharmacyRx dashboards are commonly used to review dispensing activity for reconciliation, audits, and operational follow-up.
To access the PharmacyRx dashboards, navigate to PMP AWARxE > Menu > Data > Rx Management, then click the PharmacyRx or PharmacyRx History tab.
Running a PharmacyRx Report
Users with access to run PharmacyRx reports will have their DEA Numbers and/or NCPDP Numbers available for selection on the PharmacyRx dashboard. Select the applicable identifier, enter Prescription Fill Dates, then click the Search button.
The PharmacyRx report will display to include any dispensations that match the provided search parameters. If configured by the PDMP, PharmacyRx report results may be exported by clicking Download PDF or Download CSV.
Viewing a Previously Requested PharmacyRx Report
Historical PharmacyRx reports can be viewed at any time on the PharmacyRx History tab. The Advanced Options Dropdown filter feature to narrow down their search results.
To view previously run PharmacyRx report, click the View Report link for the record in the PharmacyRx History table to open the PharmacyRx report. If configured by the PDMP, PharmacyRx report results may be exported by clicking Download PDF or Download CSV.
To view an updated PharmacyRx report, navigate back to the PharmacyRx tab to generate a new PharmacyRx report.
